1. Introduction
Harkitek (“we,” “our,” or “us”) is committed to protecting the privacy and security of your personal information. This Privacy Policy explains how we collect, use, and safeguard data when you interact with our website or utilize our web design and administrative services.
2. Information We Collect From You (The Client)
When you inquire about or subscribe to Harkitek’s services, we collect information necessary to build and manage your systems. As the Data Controller of this information, we collect:
- Identity Data: First name, last name, and trade specialization.
- Contact Data: Mobile phone number, email address, and business address.
- Financial Data: Billing details and payment information required for your setup fee and monthly retainer.
- Technical Data: Information about the device and browser you use to access our website.
3. Data Processed on Behalf of Clients (UK GDPR Compliance)
As part of our core service, we build professional websites and set up custom CRM databases and instant dispatch alerts to organize your jobs. Under UK GDPR guidelines:
- Our Role: Harkitek acts strictly as a Data Processor for the customer leads that flow through the systems we build. You (the tradesperson) remain the Data Controller.
- The Data: This includes inquiries submitted via your website forms, such as customer names, phone numbers, job descriptions, and postcodes.
- Usage Restrictions: We process this data solely on your instructions to run the automated Telegram/WhatsApp alerts and maintain your Google Sheets database.
- No Third-Party Exploitation: Harkitek will never sell, mine, rent, or independently market to your end-customers. If an end-consumer has an inquiry about their data, they must contact the tradesperson they requested the quote from.
4. How We Use Your Information
We use the data we collect as a Data Controller to:
- Provide, operate, and maintain your custom website, CRM, and dispatch APIs.
- Communicate with you regarding service updates, technical maintenance, or billing.
- Analyze how our own website is used to improve our services.
- Comply with our legal and regulatory obligations.
5. Third-Party Service Providers
Because Harkitek builds robust digital infrastructure, we share necessary data with trusted third-party cloud providers to deliver our services. These include:
- Cloud Databases: Secure environments (e.g., Google Workspace/Sheets) used to log and organize your customer leads.
- Communication APIs: Services (e.g., Telegram API) used to route instant job alerts securely to your device.
- Web Hosting: Secure, high-speed servers used to host your business website.
- Payment Processors: Secure gateways (e.g., Stripe) to process your monthly retainer.
We only partner with third parties that adhere to strict data protection and cloud security standards.
6. Data Security and Retention
We implement appropriate technical and organizational measures to secure your data against unauthorized access, alteration, or disclosure. All systems are managed via secure cloud environments.
We retain your personal data only for as long as necessary to fulfill the purposes for which we collected it. If you terminate your agreement with Harkitek, we will facilitate a full export of your CRM data and securely delete our access to your systems.
7. Your Legal Rights
Under UK data protection law, you have the right to:
- Request access to your personal data.
- Request correction of incomplete or inaccurate data.
- Request erasure of your personal data (subject to legal retention requirements).
- Object to or restrict the processing of your data.
